CRM consultancy that starts
with how you sell.

HubSpot set up around the way the business wins work, with your existing records moved across and every enquiry recorded, followed up and reported on.

Most enquiries that go cold are not lost to a competitor. They sit in an inbox, a spreadsheet or someone’s memory until the moment has passed. A CRM only fixes that when it matches how the business actually sells, so that is where the work starts.

CRM & Technologies is one of the six Innovation services, and the one that keeps sales, marketing and reporting working from the same records. Every system is set up from our Norwich office, for businesses in Norfolk and across the rest of the UK.

Stages your team can agree on.

Before anything is configured, we map how a client actually moves from first enquiry to signed work: the stages, what has to be true for a deal to move from one to the next, and who owns each step. That map becomes the pipeline.

When every deal sits in a stage with a clear definition, the pipeline figure at the board meeting means something, and the forecast can be trusted.

Defined for every stage

  • What moves a deal forward
  • Who owns it
  • What happens automatically
  • How long it should take

What CRM implementation covers.

Set up as a project, then supported month by month. The plan sets out which parts your business needs, and in what order.

  • Sales process mapping

How a client moves from first enquiry to signed work, written down and agreed with the people who do the selling.

  • CRM set-up

Pipelines, deal stages, record fields and user permissions in HubSpot, configured around that process rather than the default settings.

  • Data migration

Contacts, companies and deal history moved across from spreadsheets, inboxes or another CRM, cleaned and de-duplicated on the way.

  • CRM integration

Website forms, email, calendars and ad accounts connected, so enquiries arrive in the CRM without anyone typing them in.

  • Follow-up workflows

Tasks, reminders and first replies triggered by what a contact has done, so follow-up no longer depends on memory.

  • Reporting dashboards

Enquiries, open deals and won work by source, on one dashboard the leadership team can read in a minute.

  • Training

Short sessions for each role, with a written guide to keep, so the system is still in use long after launch.

  • Monthly support

New users, new stages, fixes and changes once the system is live, as the business changes around it.

From workshop to launch.

  1. Map.

    Weeks one and two.

We sit with the people who sell and the people who follow up, and write down how a client actually moves from enquiry to signed work.

You receive the stages, the fields and the plan in writing before anything is built.

  2. Build.

    Weeks three to five.

HubSpot is configured, your records are cleaned and moved across, and your website, inbox and calendars are connected.

Your current system stays in use until the new one has been tested.

  3. Train.

    Week six.

Each role is trained on the parts it uses, and the switch is planned so that no enquiry falls between the old system and the new one.

Every user leaves with a written guide to the way your business uses it.

  4. Support.

    Month by month.

Changes, new users and new reports as the business grows, with a quarterly look at which parts of the system are being used and which are not.

Where part of it is being ignored, we find out why and fix it.

Questions about CRM.

What does CRM consultancy include?

Mapping how the business sells, setting up HubSpot around it, moving your records across, connecting your website and tools, building the follow-up workflows and dashboards, and training your team, followed by month-by-month support once it is live.

Why HubSpot rather than another CRM?

Because one system done properly is worth more than several done halfway. HubSpot keeps sales, marketing and service on one shared record, has free tools to start on, and connects to more than 2,000 other apps. If the CRM you already have is working, we will say so rather than move you.

We already have a CRM nobody uses. Can you fix it?

Usually. Most go unused because they were set up around the software’s defaults rather than the way the business sells. We start with the process, then recommend whether to rebuild what you have or move to HubSpot.

Can you move our data from spreadsheets or an old system?

Yes. Contacts, companies, deals and notes are exported, cleaned, de-duplicated and imported, with a test import checked by your team before the full move.

How long does a CRM implementation take?

Most take four to eight weeks from the first workshop to launch, depending on how much data is moving and how many systems need connecting. The timeline is agreed in writing before work begins.

How do you make sure the team actually uses it?

By keeping it to what they need. Fewer fields, stages they defined themselves, and training for each role. After launch we check how it is being used and change whatever is getting in the way.

Who owns the CRM and the data in it?

You do. The HubSpot account is held in your name and any subscription is billed to you by HubSpot. We are given access to set it up and support it, and the records stay with you.

Can you set up a CRM for a business outside Norwich?

Yes. The team works from the Norwich office, the mapping workshops can be held at your premises or online, and the system itself is built remotely, so where the business is based makes no difference to the result.

How is it priced?

Every engagement has a defined scope and a stated fee, agreed in writing before any work begins. Tell us where you’re going and we’ll tell you what it would involve.

Ready to talk about your next stage of growth?

Tell us where you’re going. We’ll tell you, candidly, whether we’re the right agency to take you there.
